E-Invoicing
- Departments that need to bill an outside party should use the Customer Invoice (CI) E-form provided in CUSAP platform.
- Each invoice issued using CI E-form will be allocated a unique invoice number for easy identification and follow up.
- Departments are encouraged to send customer invoice to a customer by email as far as practicable for supporting the green environment.
- CUSAP will automatically generate overdue reminders and send to customers by email if customer email address is provided; otherwise, departments can send the overdue reminders to customers by mail. Despite such, departments should take all means to follow up with customers for overdue invoices.
- Aging analysis report of overdue invoices can be generated in CUSAP for departments to check and follow up regarding all unsettled invoices.
- Money received from customers in University’s designated bank account(s) will be treated as department’s project income ONLY IF departments submit properly authorised Receipt Voucher (from invoicing) (RVI) in CUSAP and send the original hard copy of the properly authorised receipt voucher together with copy of invoice, bank deposit record and other supporting documents to Finance Office (FNO) for fund checking.
- Departments can generate official receipts in CUSAP upon receipt of money in the University’s designated bank account(s) and after submission of RVI to FNO (if an official receipt is required by customers). Departments can choose to send the official receipt by email or by mail in hard copy.
- Debit note will no longer be issued by FNO as departments can issue invoice directly to customers using CUSAP CI E-form.
